Create Task activity

An activity that creates a task in Salesforce.



Configure the Create Task activity

To configure the Create Task activity, do the procedure in this topic.

How to Start

  1. On the Organizer, do one of these:
  2. Do one of these:
    • Add an activity:
      1. In the Process Builder, in the Activity Library, open the Salesforce tab.
      2. On the Salesforce tab, drag the Create Task activity onto your process.
    • Change an activity:
      1. In your process, double-click your activity.

Procedure

  1. Complete the fields on the General Configuration screen.

    For more information, refer to Configure General Options for a CRM Activity.

  2. Click Create Task .
  3. Complete the fields on the Create SalesForce Task Configuration screen.

    For more information, refer to Create a Task in Salesforce.

  4. (Optional) Click Advanced > E-mail Notification .

    For more information, refer to Configure E-mail Notifications for Any Activity

General Configuration

Specifies the basic information for a CRM activity.



Fields

Display Name
Function:
Specifies the activity name that shows in your process.
Accepted Values:
One line of text that can have spaces.
Default Value:

Description
Function:
Specifies an optional description for your activity.
Accepted Values:
More than one line of text.
Default Value:
None

Connection Timeout (Seconds)
Function:
Specifies the number of seconds permitted to complete an action before the connection stops.
Accepted Values:
An integer that represents a number of seconds.
Default Value:
600

Create Salesforce Task Configuration

Specifies the information for your Salesforce task.

Salesforce
Function:
Specifies the access token that connects to your Salesforce application.
Accepted Values:
A list of access tokens configured for your environment.
Default Value:
None

Add Token

Opens this Screen:
New Salesforce Access Token
Function of this Screen:
Configures a new access token for Salesforce.

Task Subject
Function:
The details about the task which you want to create.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
One line of text.
Default Value:
None
Accepts Process Data Variables:
Yes

Assigned To
Function:
Specifies the Salesforce user to whom the task is assigned.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
A valid user.

Assigns the task to a single user only.

Default Value:
None.

When you select the access token, the Salesforce user name shows in the Assigned To field.

Accepts Process Data Variables:
Yes

Due Date
Function:
Specifies a date when the task is due.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
A valid date in the format [dd/mm/yyyy].
Default Value:
Today's date
Accepts Process Data Variables:
Yes

Task Name
Function:
Specifies the name for your task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
One line of text.
Default Value:
None
Accepts Process Data Variables:
Yes

Task Name ID
Function:
Specifies the ID for your task name.

The task name ID comes from Salesforce. It monitors the name of a Salesforce task.

To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
A valid task name ID.
Default Value:
None
Accepts Process Data Variables:
Yes

Task Related To
Function:
Specifies to associate the task with an organization, contact, opportunity, volunteer event, or other Salesforce entity. You can see the associated tasks when viewing that entity.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
A valid Salesforce entity name.
Default Value:
None
Accepts Process Data Variables:
Yes

Task Related To ID
Function:
Specifies the task ID for an associated task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
A valid related task ID.
Default Value:
None

Yes

Task Priority
Function:
Specifies the priority for your task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
  • High
  • Normal
  • Low
Default Value:
None
Accepts Process Data Variables:
Yes

Task Status
Function:
Specifies the status of the task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Information tab.
Accepted Values:
  • Not Started
  • In Progress
  • Completed
  • Deferred
  • Waiting on someone else
Default Value:
None

Store the Task ID to Process Attributes
Function:
Specifies the process data variable that stores the task ID.
Accepted Values:
A process data variable.

You can use Process Data screen to specify a process data variable.

Send Notification E-mail
Function:
Sends an e-mail about the task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Description tab.
Accepted Values:
  • Selected - Sends an e-mail notification to the assigned user.
  • Deselected - Does not send an e-mail notification to the assigned user.
Default Value:
Deselected
Accepts Process Data Variables:
No

Task Comments
Function:
Specifies optional comments for your task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Task Description tab.
Accepted Values:
More than one line of text.
Default Value:
None
Accepts Process Data Variables:
Yes

Create Recurrence Series of Tasks
Function:
Specifies whether a task occurs more than one time, depending on the series of tasks.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Recurrance tab.
Accepted Values:
  • Selected - The task occurs more than one time.
  • Deselected - The task occurs one time only.
Default Value:
Deselected
Accepts Process Data Variables:
No

Frequency
Function:
Specifies the frequency of the task on which the task occurs. You can configure the task frequency to occur Daily, Weekly, Monthly, or Yearly.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Recurrence tab.
  2. Select Create Recurrence Series of Tasks.
Accepted Values:
  • Daily - Specifies the day or days of the week in which the task occurs.
  • Weekly - Specifies the day or days of the week on which the task occurs.
  • Monthly - Specifies the day of the month in which the task occurs.
  • Yearly - Specifies the month of the year in which the task occurs.
Default Value:
None

Reminder
Function:
Sends a reminder message for your task.
To Open this Field:
  1. On the Create Salesforce Task Configuration screen, click the Recurrance tab.
Accepted Values:
  • Selected - Sends a reminder message to the assigned user about the task.
  • Deselected - Does not send a reminder message.
Default Value:
Deselected
Accepts Process Data Variables:
No
